Creating the Print Version of a Document

Now prepare a document suitable for long-term archiving and printing from your original files.

The print version is always a printable PDF file. However, not every PDF file is suited for printing.

As a general rule, we only accept PDF files conforming to the archive format PDF/A (ISO 19005-1:2005) or the standard print formats PDF/X-3 or PDF/X4.

PDF/A is a stable, internationally accepted ISO standard for long-term preservation since September 2005. A document conforming to PDF/A must reproduce its content on different computers with different operating systems and in different printing environments in a visually identical way. Therefore, all the fonts and the information on the colour profile have to be embedded in the document. Our recommendations on colour management help you to optimize the colour output of your document.

Free and proprietary tools are available for the creation, processing and validation of PDF/A and PDF/X documents. They can be generated e. g. with Adobe Acrobat Professional or the free PDF-T-Maker/Ghostscript. Many typesetting programs also offer a direct export into these formats, as for example Adobe InDesign or LaTeX.
